Board of Directors
Lauderdale Community League is a volunteer run Society. Run by the community, for the community.
It has a board to manage the administrative requirements of the organization.
We have positions for passionate & dedicated people, excited about community involvement. We are always looking for people to join the board, as the more involvement we get, the more we can do for the people of Lauderdale.
Leadership Team
President - Jessie
Provides leadership to the board by:
encouraging board members to participate in meetings and activities
focusing the board’s activities on the organization’s mission
Ensures the board members are oriented, trained and recognized for their contributions.
Evaluates the effectiveness of the board’s decision-making process.
Acts as a liaison between the community league and the other community leagues or civic organizations.
Promotes the organization’s purpose in the community and to the media and acts as spokesperson for the league.
Is the primary liaison between the league and the Edmonton Federation of Community Leagues (EFCL).
Participates in the selection and release of any paid employees in consultation with other executive officers.
Plays a leading role in supporting fundraising activities.
Is responsible for committees by:
Serving as an ex-officio member of all committees and attending their meetings when needed.
Ensuring that committee chairpersons are appointed
Arranges for the orientation of committee chairpersons.
Is responsible for the board’s agenda.
Chairs meetings of the community league according to Robert’s Rules of Order or as designated in the bylaws and ensure meetings adhere to the agenda.
Per Robert’s Rules, votes on Board motions/major decisions only in the event of a tie.
Acts as one of the signing officers for cheques and other documents such as contracts and grant applications.
Prepares a President’s Report for the annual general meeting.
Vice President - Steven
Acts in the absence of the President/Chairperson.
Assists the President whenever possible.
Is familiar with all committee members and their duties.
Works with the President and Past President in the identification, participation and nomination of the new Board Members.
Other special duties by interest of assignment.
Secretary - Danielle
Keeps copies of the bylaws, minutes and other documents.
Keeps lists of Directors, committees and general memberships.
Informs Edmonton Federation of Community Leagues (EFCL) of Board members updates after elections.
Records all minutes during board and general meetings.
Files correspondence.
Ensures there is a quorum.
Records all motions and decisions of meetings.
Distributes copies of minutes to directors and posts minutes online (if applicable) promptly after meetings.
Notifies members of general meetings.
Files the annual return, amendments to the bylaws and other incorporating documents with the Corporate Registry.
In the absence of the chairperson and vice-chairperson, chairs board meetings until the election of an alternate chairperson.
Archives leagues records.
Treasurer - Tina
Gives regular reports to the Board on the financial state of the community league.
Acts as signing officer, with the President/Chair, for cheques and other documents.
Issues cheques for all invoices.
Make deposits.
Enters all transactions in the journal and balances monthly.
Arranges for annual audits of books.
Prepares financial statements.
Completes security clearance check.
Prepares written reports on gaming events twice annually and submits the reports to Attorney General’s Department. These reports are sent directly to the Treasurer, from Alberta Gaming to be completed by the Treasurer for return to the Alberta Gaming, Liquor and Cannabis (AGLC).
Operations
Membership & Volunteer – Dusty
Manages annual recruitment drive.
Prepare the membership list and updates records.
Orders membership supplies from Edmonton Federation of Community Leagues (EFCL)
Check online membership sales at efcl.org and distributes cards and skate tags.
Recruit volunteers to assist the Society.
Keeps records of volunteer involvement.
Organize a committee to recommend to the Board the prospective recipient(s) of the Volunteer Awards for Lauderdale Community or other related organizations.
Attend sports/programs registrations to sell memberships as required.
Recruits and supervises volunteer canvassers.
Reviews and prepares policy and procedures with respect to membership.
Recommends fee structure and strategies to increase membership.
Oversees the Committee for the Volunteer Appreciation event.
Maintain records of all gaming credits and issue requests for payments to the Treasurer on behalf of the volunteers.
Submit written reports as outlined in the Policy and Procedures document at the Regular Member meetings.
Facility – Alex
Responsible for all community facilities and structures.
Supervises building maintenance and repair.
Reviews condition of facilities and structures.
Maintains up-to-date building maintenance records.
Advises league on maintenance and upgrades.
Obtains estimates for maintenance, repair and upgrade work.
Recommends upgrades to all facilities as required.
Coordinates Rentals in the Hall or Supervises Rental Coordinator.
This is typically a contracted paid position.
Manages Ice Rinks during the Wintertime or Supervises Rink Attendant.
This is typically a contracted paid position.
Communications – Kalvin
Manages all aspects of other communication tools such as bulletins or news releases (if applicable)
Manages appropriate advertising for the League.
Works with the program director and others as requited to promote events and initiatives.
Manages the Leagues Social Media Pages.
Manages the website.
Social – Christina
Develops and Chairs committee for implementation.
Develops and maintains budget.
Works with Treasurer to ensure funds accepted (should there be) are properly tracked and assigned.
Community
Newsletter – Shawna & Sheldon
Responsible for the compilation, editing, publication and distribution of the Newsletter or other Flyers at the discretion of the Board.
Responsible for the solicitation and acceptance of advertisements for the inclusion in the Newsletter
Submit written reports as outlined in the Policy and Procedures documents at the Regular Member meetings.
General – Brian
Facilitates in extra things needing to be done in the group.
Works with other members to complete tasks in a timely and effective manner.
Unoccupied Roles
Community Liason (Area 1)
Act as a liaison between the Society and various councils or Not-for-Profit Organizations with no representation from any other Director.
Attend or appoint a designate to attend various meetings with which the Society is affiliated.
Submit written reports as outlined in the Policy and Procedures document at the Regular Member meetings.
Area 1 District includes Lauderdale, Wellington, Athlone, Calder, Rosslyn and Wellington.
Typically held by 2 Members.
Bingo & Casino
Attend or appoint a chair to attend all Bingo Association Meetings and Bingos with which the Society is affiliated and provide a written report for each Bingo Account at the Regular Member meeting.
Attend or appoint a Chair for each Bingo.
In conjunction with the Treasurer file Annual Bingo reports and gaming applications.
Work in Conjunction with the Volunteer Director to contact and arrange for staffing of all Bingos.
Act as a Bingo liaison between the Board and Alberta Gaming.
Submit a written reports as outlined in the Policy and Procedures document at the Regular Member meetings.
Applies for grants and permits to run Bingos.
Sports
Reviews and prepares policy and procedures to sports programs.
Recruits coaches.
Delegates coaching responsibilities.
Organizes registration times.
Recommends and collects sports programs fees.
Coordinates maintenance of Lauderdale Community League owned equipment (Soccer balls, jerseys, nets, etc).
Attends zone and other city-wide related meetings.
Programs
Works with the City Neighbourhood Resource Coordinators (NRC).
Determines which programs will be offered to the community, then arranges for instructors and accommodation.
Applies for grants for specific programs.
Arranges registrations.
Prepares budget and financial reports for the treasurer.
Arranges payments to instructors, keeps appropriate records.
Arranges access to the facilities used.
